This is a statement of general policy and arrangements for Alar Ecology Limited (AEL) relating to the privacy of client data and the non-disclosure of confidential client and project information.
Alar Ecology Ltd will:
• Safeguard the privacy of all personal data
• Not disclose confidential client information
Statement of general policy
- AEL will comply with the EU General Data Protection Regulation (GDPR).
- AEL will not disclose confidential or proprietary information relating to its clients and/or their projects.
Responsibility
Implementation of this Policy will be the responsibility of AEL’s Directors, Employees and Subcontractors.
Action/arrangements
- The basis on which AEL will hold client data is that it is in the legitimate interest of both parties to do so. In other words, we will store your details where this is necessary for us to carry out the work we have been commissioned to do
- We will keep digital and printed client and project information in a safe and secure place
- Your information will be kept for as long as is necessary for us to fulfil the purposes described in this Policy
- We will also use your details where we believe this is necessary to comply with a legal obligation to which we are subject
- Client details held will be amended whenever requested
- Confidential information will only be shared with people who need it, and only where your express permission has been given to do so
- We will securely erase project information once it no longer becomes necessary for us to hold it, although we may retain some contact details for future reference.
- However, we will never pass your details to a third party unless explicitly requested to
Where we have you explicit consent, we may use your details for marketing purposes, e.g. on our website or in our Capability Statements - If requested by you, we will securely erase or otherwise dispose of all of your details
- Finally, if you are concerned about how your information is used, please contact us immediately; alternatively you have a right to complain to the Information Commissioner’s Office
*Enforceable beginning May 2018, the aim of the GDPR is to protect all EU citizens from privacy and data breaches. Personal data is defined as any information relating to a natural person or ‘Data Subject’ that can be used to directly or indirectly to identify the person. Post Brexit, The UK Government has indicated that it will implement equivalent or alternative legal mechanisms to GDPR.
